1.Who we are

EstimatorPRO is owned and operated by Pascat Graphics & Marketing ("Pascat," "we," "us," or "our"), a custom software and marketing studio based in Keysville, Virginia, United States. We build and operate business software for trade contractors, including the EstimatorPRO apps for roofing, tree care, and other trades, EP Voice, and the tools available through estimatorpro.co.

2.What this policy covers

This Privacy Policy applies to:

• The website at estimatorpro.co, including its contact form and AI chat assistant;
• The EstimatorPRO applications, such as roofing.estimatorpro.co, tree.estimatorpro.co, voice.estimatorpro.co, and any other EstimatorPRO subdomain or app we operate;
• Our voice agents, phone lines, text messaging, email, and related support services (together, the "Services").

This policy covers two groups of people: Customers (contractors and businesses who use our Services) and Consumers (homeowners and other individuals whose information a Customer enters into, or who interact with, the Services). Where a Customer controls Consumer data, the Customer's own privacy practices also apply — see Section 12.

3.Information we collect

Information you give us

• Contact and inquiry details — name, business name, phone number, email address, the trade or service you are interested in, and any message you send through our contact form, AI chat assistant, phone line, or email.
• Account information — name, business details, login credentials, billing address, and payment details when you sign up for a paid plan or free trial.
• Business data you enter — customer and lead records, property addresses, measurements, photos, estimates, proposals, contracts, invoices, schedules, notes, and similar records you create in an EstimatorPRO app.
• Communications — text messages, emails, call recordings, voicemails, and chat transcripts that pass through our Services.

Information collected automatically

• Usage data — pages viewed, features used, measurements run, messages sent, buttons clicked, and timestamps.
• Device and log data — IP address, browser type, operating system, device identifiers, referring URLs, and error logs.
• Location data — approximate location inferred from your IP address, and (only where a Customer enables it and the user grants permission) GPS location from a mobile device for features like crew check-in and route tracking.

Information from other sources

• Mapping and property data — aerial imagery, parcel data, and address information from third-party providers, used to measure roofs and properties.
• Integrations — data from services a Customer chooses to connect, such as accounting, calendar, photo, or lead sources.
• Payment processors — confirmation and status of payments (we never receive or store full card numbers).

4.How we use information

• To provide, operate, secure, and improve the Services;
• To respond to inquiries submitted through our website, chat assistant, phone, or email;
• To create and manage accounts, meter usage, and process billing;
• To send service messages such as account notices, receipts, security alerts, and support replies;
• To send marketing communications about Pascat and EstimatorPRO products where permitted by law — you can opt out at any time;
• To personalize your experience and understand how the Services are used;
• To detect, prevent, and address fraud, abuse, and security issues;
• To comply with legal obligations and enforce our Terms of Service.

5.AI chat assistant & voice agents

Our website includes an AI chat assistant, and our Services include AI voice agents (such as EP Voice) that can answer phone calls, qualify leads, take messages, and schedule appointments on behalf of Pascat or a Customer.

• Chat transcripts and any contact details you share in the chat are stored so we (or the Customer whose site or phone line you contacted) can follow up with you.
• Calls may be recorded and transcribed. Where required by law, you will hear a notice at the start of the call. By continuing the call you consent to recording and transcription.
• Conversations are processed by third-party AI and telephony providers under contracts that restrict their use of your information. We do not use your conversations to train public AI models.
• AI agents can make mistakes. Do not rely on an AI agent for binding pricing, legal, or safety advice; a human will confirm details before any work or purchase.

6.SMS / text messaging

We and our Customers send text messages only to people who have provided consent. By providing your mobile number and opting in, you agree to receive texts that may include appointment confirmations, estimate and invoice links, follow-ups, and account notices.

• Message frequency varies. Message and data rates may apply.
• Reply STOP at any time to opt out. Reply HELP for help.
• Consent to receive text messages is not a condition of any purchase.
• Mobile phone numbers and SMS opt-in data will not be shared with third parties or affiliates for their marketing or promotional purposes.

7.How we share information

We do not sell your personal information. We share information only in the following situations:

• Service providers — hosting, payment processing, telephony and messaging, email delivery, AI processing, mapping and property data, analytics, and customer support tools. These providers may only use information to perform services for us.
• Customers — if you are a Consumer who contacts a contractor through a tool we operate, your information is shared with that contractor.
• Integrations you authorize — when a Customer connects a third-party service, data flows to that service under its own terms.
• Legal and safety — to comply with law, respond to lawful requests, or protect the rights, property, or safety of Pascat, our users, or others.
• Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to this policy.
• With your consent — for any other purpose you direct.

8.Cookies & analytics

We use cookies and similar technologies to keep you signed in, remember preferences, protect against fraud, and understand how the Services are used. We may use analytics tools that collect usage data via cookies. You can control cookies through your browser settings; disabling cookies may affect some features. We do not respond to "Do Not Track" signals, but we do honor opt-out preference signals where required by law.

9.Data retention

We keep information for as long as needed to provide the Services, maintain business records, resolve disputes, and meet legal obligations. Customer business data is retained while the account is active and for a reasonable period afterward so the account can be reactivated or exported; it is then deleted or de-identified. Financial and tax records may be retained longer as required by law. Call recordings and chat transcripts are retained for a limited period unless a Customer retains them within their account.

10.Security

We use reasonable administrative, technical, and physical safeguards to protect information, including encryption in transit, access controls, and monitoring. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If you believe your account has been compromised, contact us right away at support@estimatorpro.co.

11.Your rights & choices

Depending on where you live — including under the Virginia Consumer Data Protection Act (VCDPA), the California Consumer Privacy Act (CCPA/CPRA), and similar state laws — you may have the right to:

• Access the personal information we hold about you and receive a copy;
• Correct inaccurate information;
• Delete your personal information;
• Opt out of targeted advertising, sale of personal data, or profiling (we do not sell personal data);
• Appeal a decision we make about your request.

To exercise these rights, email support@estimatorpro.co with the subject line "Privacy Request." We will verify your identity and respond within the time required by law. We will not discriminate against you for exercising your rights.

Marketing opt-out: click "unsubscribe" in any marketing email, reply STOP to any text, or contact us. You will still receive essential service messages.

12.Contractor customers & consumer data

Our Customers use the Services to store and process information about their own clients and leads. In those cases the Customer is the "controller" or "business" that decides how the data is used, and Pascat is a "processor" or "service provider" acting on the Customer's instructions. If you are a Consumer and your information was entered by a contractor, we may direct your privacy request to that contractor, or forward it to them on your behalf. Customers are responsible for providing their own privacy notices and obtaining any consents required to collect and use Consumer data, including consent to receive text messages.

13.Children

The Services are intended for businesses and adults. They are not directed to children under 13, and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

14.International users

The Services are operated from the United States and intended for users in the United States. If you access the Services from outside the U.S., you understand that your information will be transferred to, stored, and processed in the United States, where privacy laws may differ from those in your country.

15.Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will post the updated policy here with a new "Last updated" date and, where appropriate, notify you by email or in the app. Your continued use of the Services after a change means you accept the updated policy.
